We are seeking a high-performing team player to provide operations and project support to our fast-paced office. We are a team-oriented firm fostering a culture of active participation, open communication, independence, and excellence.
The person in this role will work with the Operations & Project Coordinator to ensure efficient project development and task execution across our projects. This role requires a self-starting independent work ethic, a can-do attitude, and someone who is proactive in identifying and acting on solutions for our businesses. Duties include project research and white paper drafting, marketing material development and distribution, due diligence information preparation, compliance administration, Salesforce administration, communication management, investor relations assistance, sales team administrative assistance, internal reporting to the management teams, assistance with daily office maintenance and ordering, participation in ad hoc projects, assistance with various internal processes and procedures, and broad-scope clerical and reception support.
The right candidate for this role must be flexible and willing to learn new systems, processes, and skills; wear multiple hats as operations assistant, project assistant, sales assistant, and receptionist; have superior communication skills both written and verbal; adapt to changes on the fly; have an eagle’s eye for details; and most importantly, possess a positive attitude and the energy to keep pace with our ever-evolving business.
Assist Project Coordinator with task execution and milestone achievement
Project research and white paper drafting
Work with project managers and consultants to achieve deliverables
Marketing materials: Development, maintenance, proofing, polishing & editing
Editorial and authorship assistance: drafting client and investor communication, proposals, marketing pieces, and website content
Sales assistance: Prospective customer engagement and lead follow-up
Salesforce CRM data management, customization, administration, and staff training
Compliance administration: subscription review, suitability assessment, quality assurance, anti-money laundering review
Process and procedure review and maintenance
Administrative assistance & general reception duties
2-3 years relevant office experience
1-2 years sales support experience is an asset
Exceptional time management and organization skills
Strong written composition and editing skills: grammar, syntax, voice, proper business format, etc.
Business communication (internal and external) creation, editing, and distribution
Superior communication skills
Solid IT and software skills: MS Office Suite, Salesforce, Cloud Data storage, Internal and Remote servers
Independent, fast-paced, self-managed work style
Keen eye for details
Ancillary Skills and Experience
Korean or French language an asset
Experience with CRM systems
